Task B Guidelines

Prepare a set of guidelines to remind social care workers of best practice in handling information.

In the guidelines, you must:

BiExplain how to maintain records so that they are up to date, complete, accurate and legible.

It is important to record information immediately so that no detail is left out which is possible if left to a later time. At the time of recording the information all clarifications can be made for accuracy. The records should be signed, dated and legible for other user’s to access easily.

BiiDescribe how to ensure records are stored securely.

To make sure that you are aware of the companies policies and procedures and understand them as they will state how they protect records and these need to be followed precisely. Also understand the importance of working in accordance of codes of practice and handling information. All records need to be kept out of sight of others and only accessed by authorised persons and always ensure that records are locked in a locked cabinet and all electronic records are stored on systems that are encrypted with passwords

BiiiDescribe how to ensure security when reading or making entries into records.

To ensure that records are secure when making entries or discussing records then it is wise to secure the environment, close doors/windows and ensure you are out of earshot from anyone not involved. Write up daily notes in private and if you do have to leave for any reason then make sure that the records are returned to the locked cupboard/cabinet. Computer bases records need to be password protected and the angle of the computer screen is important so that no-one entering the area can read the information you are inputting. Ensure the screen is not left open to access when confidential information is on display. Always check the identity of anyone wanting to access information by phone, email or in person.
